Outside phone call calibration
This document explains how to handle incoming phone calls by outlining who to transfer calls to based on the caller’s request – whether it’s a specific person, an administrator or a topic like dyslexia, media or professional learning. It also gives directions for handling repeat or urgent parent calls.

Best practice/examples
It is an expectation for all staff that phone calls must be returned within 24 hours. Your voicemail greeting should contain a standard greeting that indicates that you will return calls within a 24-hour period and the name (including the extension) of the person the caller can reach for immediate assistance. During times when you are not able to return calls within the 24-hour window, please change your greeting to reflect this.
Voice Mail Guides by Location
One important way we can strengthen our relationships both internally and with our educational partners is through personal, descriptive voice mail greetings. The agency has established an expectation that voice mail greetings be current and identify when callers can expect a return call. To support your efforts, voice mail guides are available for the phone systems in Cedar Falls, Clear Lake, and Marshalltown.
